Smartsheet is project management for people who think in rows and columns. A project is a sheet: tasks in rows, owners and dates in columns, and the same data shown as a Gantt chart, a board or a calendar. Its pricing is simpler than it used to be, but two things trip up small teams: the member model, which decides who pays, and the jump from Pro to Business, which is where the scheduling tools are.

Prices below are Smartsheet's US dollar list prices, with USD selected on its pricing page. Smartsheet prices every paid plan per member, a person with full access to create and edit.

Smartsheet pricing at a glance

Plan Billed yearly Billed monthly Members What it adds
Pro $9 a member a month $12 a member a month 1 to 10 Gantt, table, board and calendar views; dependencies; 250 automations a month
Business $19 a member a month $24 a member a month 3 or more Timeline view, baselines, workload tracking, admin tools, unlimited automations
Enterprise Quote Quote 10 or more Portfolios, scenario planning, SAML single sign-on, directory integrations
Advanced Work Management Quote Quote Not stated Advanced Portfolios, Dynamic View, Data Shuttle, Connectors, premium support

There is no free plan. Smartsheet offers a 30-day free trial with no credit card. Paying yearly saves 25% on Pro ($9 against $12) and about 21% on Business ($19 against $24).

Pro: $9 a member, up to 10 members

Pro is for a small team that wants to track and share projects. It includes:

  • Gantt, table, board and calendar views, plus the grid view.
  • Dependencies, so dates recalculate when a duration or a predecessor changes.
  • Formulas, including cross-sheet formulas, and unlimited sheets, dashboards, reports and forms.
  • 250 automated triggers a month, such as alerts, reminders, approval requests and update requests.
  • 20 GB of file storage, with a maximum attachment size of 30 MB.
  • Unlimited free Contributors.

Pro has smaller limits than it first looks. A dashboard can hold 10 widgets and a report can draw on one sheet, against unlimited on Business. Forms have no conditional logic.

What to watch:

  • 10 members is the ceiling. An eleventh member means Business for everyone.
  • New customers only. Smartsheet's pricing page says Pro is only available to new customers.
  • No Guests. People outside your company who need to edit must be paid members on Pro; free Guests start on Business.

Business: $19 a member, at least 3 members

Business is the plan Smartsheet marks as most popular, and the one most teams that manage real schedules end up on. On top of Pro, it adds:

  • Baselines, to compare the current schedule with the plan you started from.
  • Timeline view and workload tracking, to see who is overbooked.
  • Unlimited automations and unlimited free Guests.
  • 1 TB of attachment storage, with files up to 250 MB.
  • Admin tools: plan insights, group management, scheduled backups and an activity log.
  • Proofing of images and video, publishing of sheets and dashboards, and connections to Power BI, Tableau and AI tools such as Claude, ChatGPT and Microsoft Copilot.

Smartsheet's help article on the critical path, which highlights the tasks that drive a project's end date in Gantt view, lists Business and Enterprise as the plans that can use it.

What to watch:

  • The minimum is 3 members. A solo user or a pair pays for 3 seats on Business: $684 a year billed yearly.
  • Some add-ons need Business. Resource Management, Dynamic View and Data Shuttle are sold only to Business and Enterprise plans.

Enterprise and Advanced Work Management

Enterprise is sold by quote for 10 or more members. It adds portfolios, scenario planning, collections, Work Insights for analyzing data, SAML-based single sign-on, directory integrations, the Enterprise Plan Manager, custom email domains and unlimited attachment storage. Integrations with Workday, ServiceNow, Microsoft Dynamics 365, HubSpot and Docusign start here.

Advanced Work Management is Smartsheet's top plan, also by quote. It includes everything in Enterprise plus Advanced Portfolios, Dynamic View, Data Shuttle, Connectors, DataMesh, the Calendar and Pivot apps, and the Premium Support package. On Business and Enterprise those tools are add-ons, so this plan bundles them.

A small business rarely needs either. The main reasons to ask for a quote are single sign-on through your identity provider and portfolio reporting across many projects.

Two other versions exist, both outside the scope of a typical small business. Smartsheet Gov is a separate service for US government work; its FAQ says Gov customers who buy through a sales representative stay on the older collaborator model. Smartsheet Regions is the version Smartsheet offers outside the US. Smartsheet notes that feature availability varies on both, so check its capability pages before you buy either.

Members, Contributors and Guests: who pays

Smartsheet used to sell licenses to "licensed users" and let everyone else collaborate free. It has replaced that with a user subscription model, which it announced in June 2024. Under it:

  • Members are the only paid role. They create, edit and manage sheets and other items. Smartsheet's migration guide says licensed users automatically became Members.
  • Contributors are free and unlimited on every plan. They can view shared work and, with commenter permission, comment and add attachments. They can also respond to update requests and submit forms.
  • Guests are free and unlimited on Business and above. They are people from outside your company's email domains who can edit and comment on items shared with them. A Guest reverts to Contributor within 90 days unless they hold Editor permission or higher on a shared item.

Existing customers moved over at set dates: annual plans at their next renewal after January 1, 2025 (multi-year plans at their multi-year renewal), and monthly plans from February 1, 2025. New plans start on the member model.

Provisional members

The part that affects your bill is provisional membership. New users can start as provisional members: they get the same capabilities as a member and at least 30 days of unpaid use, unless a system admin changes their seat type.

Then comes a review period, quarterly on annual plans and monthly on monthly plans, right before the bill or invoice date. A system admin reviews who has been active and decides who becomes a paid member. What happens to the rest depends on a setting in Admin Center:

  • Downgrade setting: provisional members who weren't upgraded move to a free seat type at the end of the review period.
  • Upgrade setting: provisional members who weren't downgraded become paid members automatically, and any seats beyond what you have bought are added to the next bill.

If you want the bill to stay flat, check that setting in Admin Center and review the list each quarter.

What Smartsheet costs for 3, 10 and 25 members

Team size Pro, billed yearly Pro, billed monthly Business, billed yearly Business, billed monthly
3 members $324 a year $432 a year $684 a year $864 a year
10 members $1,080 a year $1,440 a year $2,280 a year $2,880 a year
25 members Not available Not available $5,700 a year $7,200 a year

Each figure is members × the price a month × 12. At 25 members, Enterprise is also an option, but its price is by quote.

What Smartsheet Business costs in a year, by team size

  • Billed yearly
  • Billed monthly
Members × price a month × 12, at $19 billed yearly and $24 billed monthly, from Smartsheet's US dollar pricing. Pro is left out because it stops at 10 members. Add-ons and taxes not included.
Show the numbers
Billed yearlyBilled monthly
3 members$684$864
10 members$2,280$2,880
25 members$5,700$7,200

3 members. Pro costs $324 a year. Business, at $684, buys baselines, the timeline view, workload tracking and free Guests. If clients need to edit your sheets, Business may cost less than paying for them as members on Pro.

10 members. The most Pro allows: $1,080 a year, against $2,280 on Business. A team of 10 that plans to hire should price Business now, because the eleventh member forces the switch.

25 members. Business only, at $5,700 a year billed yearly. Paying monthly adds $1,500 a year for the same 25 seats.

Only the people who build and edit need to be members. A 10-person company where 4 people run the projects and the rest update tasks through forms and update requests can stay at 4 members, as long as those 6 really only view, comment, respond to requests and submit forms.

Add-ons

Smartsheet sells several premium features separately. The two with a published price, both for Business and Enterprise plans:

  • Dynamic View, which shows people only the rows and fields they should see: from $125 a month.
  • Data Shuttle, which imports and exports data between Smartsheet and other systems on a schedule: from $100 a month.

Resource Management (Business and Enterprise), Brandfolder (all plans), and the Calendar App, Pivot App, DataMesh and Connectors are also add-ons, with no price on the pricing page. Ask for a quote before you count on any of them.

Monthly or yearly billing

Both Pro and Business can be paid monthly or yearly. Yearly is cheaper per member: $3 less a month on Pro and $5 less on Business. On a 10-member Business plan, that is $600 a year.

Monthly billing has two things going for it. It lets you leave after a month if the trial didn't settle the question, and its review period for provisional members runs every month, so you see seat changes sooner. Yearly billing reviews provisional members every quarter, and under the upgrade setting any extra seats are added to the next bill.

Smartsheet accepts Visa, Mastercard, Discover and American Express cards and ACH direct debit. Its FAQ says you can upgrade at any time and add or remove users, subject to its user agreement.

A sensible path for a small team: run the 30-day trial with real projects, pay monthly for a month or two while you settle who needs to be a member, then switch to yearly once the member count is stable.

How to keep the Smartsheet bill down

  1. Decide who really edits. Only people who build or change sheets need to be members. Everyone who just updates their own tasks can usually work through update requests, forms and comments as a free Contributor.
  2. Set the provisional member setting on purpose. If you choose the downgrade setting, nobody becomes a paid member without an admin's decision.
  3. Review the list before each review period ends. Downgrade anyone who tried Smartsheet once and never came back.
  4. Use Guests on Business for clients. Outside collaborators from other email domains who need to edit can join free instead of taking a member seat.
  5. Pay yearly once the team is stable. It saves 25% on Pro and about 21% on Business.
  6. Price add-ons before you need them. Dynamic View alone, from $125 a month, costs more than six Business members billed yearly.

Smartsheet for project management: the Gantt chart

Every plan includes the Gantt view and dependencies. What changes by plan is the scheduling around it: baselines start on Business, and so does the critical path according to Smartsheet's help center. If your projects depend on a fixed end date, budget for Business from the start. Our Gantt chart software guide compares which plan of each tool includes dependencies, critical path and baselines.

How Smartsheet compares on price

On annual billing, Smartsheet Pro at $9 a member costs the same as ClickUp Core ($9 a user) and less than Wrike Team ($10) or Asana Starter ($10.99). Business at $19 sits between ClickUp Business ($17) and Asana Advanced ($24.99) or Wrike Business ($25).

The real difference is the free roles. Smartsheet's unlimited free Contributors, and Guests on Business, mean you pay only for the people who build the plans. Our best project management software guide compares the seat rules of seven tools, and our Wrike pricing guide covers Wrike's own seat groups.

Is Smartsheet worth it for a small business?

Choose Smartsheet if your team already runs projects in spreadsheets and you want the same grid with Gantt charts, forms, automations and dashboards on top. Start with Pro if you are under 10 people and only need the Gantt chart with dependencies. Move to Business when you need baselines, critical path, outside Guests who edit, or more than 250 automations a month.

If you need a free plan, Smartsheet has none; see our free project management software guide instead.
